Sansform (sansform.ai) converts paper and PDF forms into live digital workflows using AI vision. Upload a scanned form, photo, or PDF, and AI extracts every field — text inputs, checkboxes, radio buttons, signatures — into a structured, fillable digital form in seconds. No manual rebuilding. No drag-and-drop from scratch. Just upload and go.

Sansform is designed for operations teams, HR departments, facilities managers, and any organization still passing around paper forms or static PDFs. The product eliminates the gap between "we have a form" and "we have a digital workflow."

## How Sansform works

### The AI extraction pipeline

Sansform's core pipeline: PDF or image in, live digital form out.

1. **Upload**: User uploads a PDF, scanned document, or photo of any form
2. **Rasterize**: PDF pages are converted to PNG images at 150-200 DPI using pdf-lib and sharp
3. **AI vision**: Each page image is sent to Claude (Anthropic's AI) with a specialized extraction prompt
4. **Structured output**: Claude returns structured JSON with sections, fields (labels, types, validation, layout), signature blocks, and metadata
5. **Review**: User sees a side-by-side view of the original document and the extracted digital form
6. **Edit**: Visual drag-and-drop editor for refining fields, adding logic, and customizing layout
7. **Publish**: One-click publish with a shareable link or embed code

The extraction achieves ~99% accuracy on typical typed business forms — applications, inspections, onboarding packets, and compliance checklists. Handwriting and low-DPI faded scans land lower; the side-by-side review step lets users patch any miss in seconds. It understands field types (text, number, email, phone, date), grouped sections, required vs optional fields, checkbox groups, radio buttons, dropdowns, signature blocks, and document structure. Accuracy improves with corrections — the system learns from edits.

### AI form generation

Users can also describe a form in plain language (e.g., "Create an equipment checkout form with condition notes and photos") and Sansform generates it from scratch using AI. No upload needed.

### AI extraction
Upload a photo or PDF. AI extracts every field, checkbox, signature block, and section heading. Supports complex multi-page forms with 80+ fields. Extraction accuracy: ~99% on typical typed business forms; handwriting and faded scans land lower and may need light review.

### Form editor
Visual drag-and-drop editor to refine extracted forms or build from scratch. Supports all standard field types: text, textarea, number, email, phone, date, radio buttons, checkboxes, select dropdowns, file upload, headings, and paragraphs.

### Conditional logic
Show, hide, or require fields based on answers. Build smart forms that adapt to user input without writing code. Rules are defined as "When [field] equals [value], then show/hide/require [other field]."

### Built-in signatures
Legally binding e-signatures — draw, type, or upload. Each signature is captured with a timestamp and IP address for audit purposes. Uses the signature_pad library for canvas-based signature capture. Included on every plan, including free.

### Smart routing
Email notifications, webhooks, and conditional routing by field value. Every submission is automatically delivered where it needs to go. Route to different teams based on form answers (e.g., corporate applications go to the finance team, individual applications go to sales).

### Submissions dashboard
Every response in one place. Filter, search, export, and track completion status in real time. View individual submissions with all field data, signatures, and attachments. Export to CSV.

### Team workspaces
Invite team members with role-based access control (owner, admin, editor). Each workspace has its own forms, submissions, branding, and billing. Multiple workspaces per user supported.

### Custom branding
Add your logo and brand colors to published forms (Starter plan and above). Business plan includes custom domain support for white-labeled form hosting.

### Embeddable forms
Published forms can be embedded in any website via iframe. Forms are hosted at /f/[workspace]/[form] with responsive design that works on any device.

### Bulk import
Scan stacks of filled-out paper forms to digitize historical records. Convert entire filing cabinets into searchable digital submissions.

### Encrypted sensitive fields
Field-level AES-256-GCM encryption with AWS KMS envelope encryption for data like SSNs, bank details, medical information, and PAD agreements. Form builders designate which fields are sensitive; data is encrypted on submission, masked everywhere, and automatically purged from storage after 24 hours. All access to decrypted values is logged in an audit trail visible in workspace settings. Included on every plan, including Free — encryption is treated as a security primitive, not a paid feature.

### Custom domains
Host published forms at your own domain (e.g., forms.yourcompany.com) with automatic SSL via Vercel. Includes DNS verification workflow. Available on Business plan.

## Security and compliance

- **Field-level encryption**: AES-256-GCM encryption for sensitive fields using AWS KMS envelope encryption.
- **Per-submission Data Encryption Keys**: Every submission with sensitive fields gets its own freshly-generated DEK wrapped by AWS KMS — no shared workspace key. The wrapped DEK is stored on the submission row.
- **24-hour crypto-shredding**: An hourly job replaces the encrypted value with a tombstone AND nulls the submission's wrapped DEK in a single database update at the 24-hour mark. Once the key is gone, copies of the ciphertext that exist in any infrastructure backup are cryptographically unrecoverable — by Sansform or by anyone with backup access.
- **In-app AI support bot**: Workspace members get an in-app support chat that answers product questions from the official Sansform docs only. Per-user rate limits (30/hour, 200/day) prevent abuse. Every query is audit-logged in workspace settings.
- **Audit log**: Every sensitive field access logged with user, timestamp, IP, and action. Viewable in workspace security settings.
- **Row Level Security**: Postgres RLS on all tables scoped by workspace_id
- **HTTPS enforced**: HSTS preload (2 years) on all routes
- **Security headers**: X-Content-Type-Options, Referrer-Policy, X-Frame-Options, Permissions-Policy
- **Auth**: Supabase Auth with email OTP verification
